The problem
Quoting is the bottleneck in every service business. The brief arrives, sits in a queue for 24–72 hours while someone manually scopes it, then gets sent as a generic PDF that requires back-and-forth before signing. By then the prospect has moved on.
The approach
We built QuoteForge as an internal tool first: brief arrives via webhook, AI scopes the work against our service templates, generates line items with time estimates, renders a branded PDF via Astro SSR, and fires it to the prospect via Resend with a Stripe payment link. The whole pipeline runs in under a minute.
Outcomes
- Median time from brief to sent proposal: 47 seconds
- Proposal acceptance rate increased 34% vs manual process
- Zero formatting errors across 200+ generated documents
Retrospective
The insight was that speed itself is a trust signal. When a prospect gets a detailed, well-formatted proposal within a minute of submitting their brief, it communicates competence more than any portfolio page could.
